About the role:

The Member Services Manager contributes to the CCR’s goal of advancing the rights of refugees and migrants in Canada and beyond by overseeing membership strategy, developing and monitoring member recruitment, retention, and engagement practices for the organization.

Core responsibilities for this role include advancing impactful strategies to recruit and engage members, leading in the annual renewal process for membership, and working with communications staff to ensure creative and engaging communications with members in support of programs and events.

The Member Services Manager collaborates closely with the rest of the CCR team, and is supervised by the Co-Executive Director (Operations and Finance). This is a full-time position (35 hours per week), with opportunities for occasional domestic travel and limited expectations for work on weekends and evenings. The position is based in Montreal and the selected candidate will be expected to work from CCR offices at least one day per week (per the current hybrid work model, subject to change).

Key Responsibilities:

Member Recruitment and Retention

  • Develop and implement strategies for recruiting new members, retaining existing ones, and reengaging lapsed ones, with a focus on fostering active engagement and representation within the CCR.
  • Manage the membership renewal process, ensuring timely and accurate updates to member statuses.
  • Maintain and update the membership fee scale, including the integration of strategies to account for platform fees and other associated costs.
  • Develop tailored communications for onboarding new members, including welcome emails, information about working groups, and other resources to enhance their CCR experience.
  • Serve as the primary point of contact for membership inquiries, ensuring timely and effective responses, and the review and vetting of membership applications for approval by the Executive Committee.
  • Oversee and maintain the membership database software (Wild Apricot) and accompanying database files (e.g. Excel, CCR website), ensuring all member records are accurate, up-to-date, and organized.
  • Support the Executive Committee’s Membership Committee to ensure governance oversight of the membership process and to develop outreach strategies that leverage existing relationships and region-specific insights.
  • Prepare reports and analysis on membership trends, gaps, and opportunities for growth, including monthly and annual reports on membership status.

Membership Engagement

  • Collaborate with the Director of Communications and other staff members to create and disseminate bilingual materials relevant to members, including newsletters, event promotion, one-pagers and other resources that promote engagement and participation in CCR activities.
  • Support the Communications staff in maintaining and updating the CCR website with membership-related content.
  • Provide leadership in the development and support of specific events, processes and outreach opportunities for member engagement, recruitment and retention
  • Contribute to membership-related components of major CCR event organization such as consultations and working group meetings.
  • Lead the initial recruitment and convening of the Local Organizing Committee for Consultations (LOC) and oversee general LOC meetings and relevant subcommittees

Membership Access and Participation

  • Oversee the Amina Malko Fund for Refugee Participation, including the application and selection process, liaising with recipients, and integrating their perspectives into the Consultations.
  • Develop strategies relating to linguistic minority member participation within the CCR, in particular in support of the Francophone committee of the Executive Committee

Skills & Experience:

  • 3+ years of experience of related professional experience
  • Fluent in English and French with high competency for writing, editing and proofreading in at least one of those
  • Experience drafting engaging communications such as newsletters, member mailings, pamphlets, onboarding packages, etc.
  • Proficiency in CRM software, database management, and Microsoft Office 365
  • Demonstrated commitment to human rights, social justice and anti-oppression
  • Excellent interpersonal and networking skills, including the ability to effectively communicate CCR's mission and its benefits to either existing or potential member organisations
  • Demonstrated ability to work effectively with volunteers and volunteer committees and with a variety of perspectives and approaches;
  • Excellent time management skills with the ability to prioritize multiple tasks or competing deadlines
  • Strong organizational ability and attention to detail, including the ability to create workplans and tools to ensure timely and accurate follow-ups
  • Ability to compile and analyze data and trends to improve member retention and engagement strategies
  • Ability to take initiative, collaborate in multidisciplinary, multicultural settings, and across organizations
  • Willingness to work in a small office where staff must be adaptable.

An asset if you have:

  • Familiarity with the refugee and immigrant sector
  • Previous experience working in a membership-led organisation
  • Experience working with Wild Apricot
  • Experience with website management, including the ability to troubleshoot independently to solve problems
  • Experience with design software such as Canva and InDesign

What We Offer

  • The salary scale for this position is $ 60,060 to $ 69,160 commensurate with experience
  • 4 weeks’ vacation, as well as additional office-wide two weeks off during the winter holidays
  • 18 days combined sick/personal days
  • Group health insurance plan
  • 4% RRSP contribution per year, and the option to join the VRSP plan.
